About Advanced Access Control
Access to VIP’s screens, and to the printing of reports, is controlled by Operator Passwords.
For each Password the Access Rights to the different screens in the VIP System must be specified. An operator may be assigned Full Rights, View Only Rights, or No Access Rights to a screen or area of the VIP System, and report printing is controlled by security levels.
Advanced Access Control allows you to specify unique passwords for many different operators in each VIP Company.
For additional security you may also assign a Zone Code to each employee, and operators may only access employees in the zones to which they have access (VIP Premier and VIP Classic Payroll).
At least one operator must have Full Access to all the screens and Access to Level 5 Reports.
If an operator needs to be assigned Full Access rights to all the screens, the option ‘Flag all fields as FULL’ on the Access Control Screen can be ticked. If an operator needs to be assigned View Access rights to all the screens, the option ‘Flag all fields as VIEW’ on the Access Control Screen can be ticked.
Maximum number of users is limited to 142 per company with Password Control.
How to Access Advanced Access Control
To access the Advanced Access Control Screen from the VIP Main Menu:
- Click on Company.
- Click on Access Control.
- The Access Control Selection Screen will be displayed.
- Click on the Radio Button next to Advanced Access Control.
- The Advanced Access Control Password Screen will be displayed.
- Operator Passwords may be added, changed and deleted on this screen.

How to Add, Change or Delete an Operator Password
You may select to add, change or delete an operator password on this screen.

Adding a New Operator Password
- Click on <Add>.
- You will be prompted to enter the operator’s password which will not show on the screen.
- You will then be asked to re-enter the same password.
- Also enter an Audit Name that will appear on the Audit Trail and a Screen Name which will appear on the Initial Entry Screen when the operator logs into VIP.
- Click on <Continue>.
- The Access Control Screen will be displayed.
- Five tabs are available where Access Rights to various screens may be defined.
Operator Information
To change an operator’s existing Password or Audit Trail or Screen Name:
- Double-click in the field provided so that the information is highlighted.
- Enter the new information, so that the old information is overwritten.
Visible Company Zones
The use of Zone Codes restricts an operator’s access to the information for employees in specified zones.
Activating Zone Codes:
Zone Codes are activated by entering a zone or zones on the upper right-hand side of Advanced Access Control Page 1.
As soon as any operator has Zone Codes specified, Zone Codes are enabled throughout the system.
For each operator three zone blocks may be specified. For example, a factory manager may have access to zones FAC1 to FAC3 and FAC6 to FAC8, and the head office salaries clerk may only have access to zones HO to HO.
Access Rights
To set the Access Status to either Full, No or View Access:
- Select the Radio Button under the required column next to the area specified on the left-hand side of the screen.
To select the Print Level for printing reports:
- Click on the down-arrow of the required Combo Box.
- Select the Security Level for printing reports.
The operator may only print reports with a security level up to and including this security level. ‘5’ is the highest level for printing reports.
If the operator needs to be assigned Full Access rights to all the screens, the option ‘Flag all fields as FULL’ on the Advanced Page 1 Tab can be ticked.

Deleting an Existing Operator Password
- Select the operator whose particulars you want to delete.
- Click on <Delete>.
- The Access Control Screen for the operator will be displayed and you will be asked to confirm that this is the operator who must be deleted.
- Click on <Yes>.
- The operator will be deleted.
Save Detail and Print Detail
Companies that make use of Advanced Access Control have the following feature:
You can either save a report to MS Excel or print a report, containing the Screen Names and Access for all the users set up for that company, per item on the Advanced Access Control Tabs.

When you click on <Save Detail> , a message will be displayed with the name of the file that has been created in the VIP Directory. The file name is “Audit”, followed by the company number and the file extension - .html, e.g. AUDIT014.HTML.

When you click on <Print Detail> , the report will open in a print preview window. You can now select to view on the screen or to print it out.
The passwords will NOT be printed or displayed on these reports.
Global Access Control
About Global Access Control
Global Access Control will enable you to manage Access Control on directory level.
The principle is that each user will have to log in from a Global Access Login Screen, with a User Name and a Password, and from there will have access to one, selected or all companies, as pre-defined in the Global Access Control by the Super User or a VIP Payroll Consultant.
Maximum number of users is limited to 142 per directory.
